Lady Bay Festival presents ‘A night at the Bay’

Covid safety summary
A Night at the Bay has been designed as a Covid-safe event. We will operate in line with the guidelines set out in the Government’s Coronavirus Recovery Roadmap and ensure the event adheres to the latest guidance.

  • Please do not to attend the event if you are unwell and/or showing symptoms of Covid-19
  • The event takes place outdoors on Nottingham Rugby Club’s spacious ground
  • A socially distanced queuing system will be in place during entry and exit from the event. This will be supported by security staff and clear signage will be in place regarding safe distances
  • Baggage checks will take place on entry to the site
  • The event is arranged in pods of up to 6 to ensure adherence to the Rule of 6
  • Access around the site is also spaced to ensure social distancing, including the toilets, bars and catering queues (see site map). Regular cleaning will be carried out
  • Clear signage and event marshals will support adherence to social distancing during the event
  • Hand sanitising stations will be placed at regular intervals around the site, including bars, catering outlets and toilets
  • Cashless bar and table service throughout the event. Download the app here: RoundApp (if you do not have access to a smart phone then card payment can be used)

As a Covid-safe event, we are committed to ensuring we adhere to the latest Government advice. To comply with the update to the Government’s Hospitality at outdoor food and drink festivals paper, all attendees must be seated when consuming food and drink during the event. You are welcome to stand and dance in your pods when not drinking and please do bring camping chairs/blankets etc with you for your comfort. We will have limited chairs at the Rugby Club for anyone unable to bring anything with them, available on a first come, first served basis.

Travel to the venue
The address of the venue is Nottingham Rugby Club, The Bay, 1 Holme Road, West Bridgford, NG2 5AA. Regular buses run to the local area from Nottingham City Centre.

Car parking
Official car parking is available for £3.00 on Scarrington Road (NG2 5BR), just opposite the Bay. The car park will be sing posted as ‘Nottingham Rugby parking’ and less than 5-minute walk to the venue. Parking officials will be on hand to direct the short distance to the venue.  

Access & mobility
The site is largely wheelchair friendly with ramp free, disabled toilets on site. Free, on-site, parking is available for disabled badge holders. Please contact ladybayfestival@gmail.com by Friday 4th June to arrange disabled parking or if you have concerns regarding site accessibility.

Additional tickets within a pod (up to a maximum 6 people)
For pods under the 6 person maximum, you can purchase additional adult tickets for your pod here. Please be mindful of your current pod occupancy (including any additional child tickets).

Arriving at the venue
Doors open at 18.00, with the first act on stage at 18.30. A socially distanced queuing system will be in place during entry to the event. Please arrive in good time to allow marshals to check tickets and ensure admission to the venue whilst maintaining safe social distancing.

Please try to arrive as a full group. If a member of your group is arriving separately, all group members will need a copy of the ticket sent to the lead booker (including pod number) to ensure entry to your pod.

Your pod and what to bring
The audience arena pods will be marked out on the grass in front of the stage, you will be shown to your pod by event staff. As the area is not covered, in the event of bad weather please dress appropriately. Please remember to bring your pod number with you for when you meet with our event staff. If you are unsure, please email ladybayfestival@gmail.com before the day of the event. All party members must remain in their pods unless they are using the facilities or catering. Each pod will have a table for your party to use. You are welcome to bring camping chairs and picnic blankets for comfort.

Food and drink
Access to the bar and catering outlets is via a one-way layout and socially distanced queues – please note the signage and adhere the to the system to ensure everyone’s safety and comfort. All food and drink, including that purchased at the bar and catering outlets, should be consumed within your pod. Water will be available to buy from the bar. Ticket holders may bring their own water and soft drinks, provided they are in sealed containers.

No alcohol is to be brought into the event from outside and must be purchased from the bar for consumption within pods. A ‘challenge 21’ system will be in place. Stewards will perform spot checks on entry to prevent alcohol from entering from outside. Event stewards will be performing regular site patrols to oversee audience safety. Please download RoundApp before you arrive, this will offer full access to the bar throughout the evening.

Toilets and facilities
Queuing points will be set out at toilets to allow social distancing. Regular cleaning will be carried out. Hand sanitising stations will be placed at regular intervals around the site, including bars, catering outlets and toilets. There are ramp free, disabled toilets on site.

Leaving the venue
A socially distanced queuing system will be in place during exit from the event. As the event takes place in a residential area, please leave the event in a quiet and orderly manner.

After the event
A point has been allocated for lost property (see site map). ladybayfestival@gmail.com will be monitored for one month after the event as point of contact for any unclaimed items. Efforts will be made to return identifiable items (e.g. bank cards). Once items have been retained for one month they will be disposed of. High value items will be taken to the nearest main police station.
